In short

• We're Rhian and Oliver. We use what you tell us here to plan our wedding.

• We share only what's needed, with our venue and caterer and with the companies that run this site.

• We delete guest details within seven months of the wedding. We keep photos as our wedding album.

Who we are

This site belongs to Rhian and Oliver, and we're responsible for the information you give it. Email us at hello@rhianandoliver.com.

What we hold

• Your household's names, postal address, email, phone number and how you'd like us to contact you.

• Whether each guest is coming to each part of the day, and their age group, meal choice, dietary needs and allergies.

• Your answers about somewhere to stay, transport, songs and drinks, and any message you leave us.

• The emails we send you, and whether they arrived.

• Photos you upload.

Some of this does not come from you. We add addresses we already have, and replies you give us by phone or in person. One person can reply for the whole household, children included.

Why we use it

To invite you, to plan numbers, food and seating, and to keep in touch about the day. The law calls this our legitimate interests.

Allergies and medical or religious diets are sensitive information. We use them only to keep your food safe. You choose whether to tell us, and you can clear your answer at any time.

To invite you, we need your address and to know who is coming. Everything else is up to you, but we can only keep your food safe if we know about allergies.

Photos

Photos you upload go into the gallery for other guests to see, unless we hide them. The gallery does not say who uploaded each one.

Guests with a household code can download the original file, which can show where the photo was taken. To keep that private, turn off location on your camera first.

If you're in a photo you'd rather we did not share, tell us and we'll take it down.

Who else sees it

• Our venue and caterer: names, meals, dietary needs, allergies and seating, and only what they need on the day.

• Other guests: the photos in the gallery.

• Companies that run the site for us: hosting, email, file storage and error tracking. They use your information only to do that job, on our instructions. Ask us if you'd like their names.

The site is hosted in London, and files, backups and error reports are kept in the EU. Our email service keeps delivery records in the US, and some of these companies may access information from there. UK law allows this through the UK-US data bridge or approved contracts.

How long we keep it

We delete your household's details, replies and answers, and the emails we sent you, within seven months of the wedding. Copies in our backups are gone a week later. The gallery closes then too.

We keep the photos, with no end date, as our wedding album.

To stop people guessing codes, the site keeps your IP address until a day after your last visit.

Cookies

Two cookies keep you signed in: one for your household code, which lasts a day, and one for the photo code, which lasts 30 days. We use no advertising or tracking cookies.

Your rights

You can ask us for a copy of your information, in a form you can reuse. You can ask us to correct it, delete it, or stop using it while we sort out a problem. If we delete your household, everything recorded against it goes too, photos included.

Objecting

You can object to us using your information at any time. Tell us and we'll stop.

Complaints

If you're unhappy with how we've handled your information, email hello@rhianandoliver.com. We'll reply within 30 days. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
